Rooms File

The Rooms file maps the physical inventory to your Rates. It describes the room types available for sale under each rate, and its occupancies field determines which occupancy combinations are accepted for each product.

Purpose

This file is used to define:

  • hotel code
  • rate code
  • room code
  • room description
  • active status
  • external code
  • standard occupancy
  • valid occupancies

Example

Download the example Rooms file (CSV)

Occupancy string (occupancies): uses a standard Adults-Children-Infants format, delimited by | (e.g., 1-1-0 means 1 Adult, 1 Child, 0 Infants).

Field definitions

FieldTypeDescription
hotelCodeStringUnique code of the hotel.
rateCodeStringRate plan associated with the room.
roomCodeStringInternal code identifying the room type.
descriptionStringHuman-readable room description.
activeBooleanIndicates whether the room is active.
externalCodeStringSupplier or external mapping code.
standardOccupancyIntegerStandard room occupancy used as the baseline for pricing.
occupanciesStringValid guest combinations in the format Adults-Children-Infants, separated by |.

Occupancy format

The occupancies value follows the format:

Adults-Children-Infants

Examples:

  • 1-0-0: 1 adult, 0 children, 0 infants
  • 2-0-0: 2 adults, 0 children, 0 infants
  • 2-1-0: 2 adults, 1 child, 0 infants

This lets Travelgate know which combinations are valid for each room and ensures pricing logic aligns with the room's actual capacity.

Notes

  • roomCode must be consistent across all pricing and restriction files.
  • standardOccupancy is often used as the base for occupancy-based pricing rules.
  • occupancies may contain multiple valid combinations in the same row.
